Privacy Policy

This policy explains what information Cool Call Pro (coolcallpro.com) collects, where it goes, and the choices you have. Cool Call Pro is an HVAC information and referral website. We do not perform HVAC work ourselves.

1. Information We Collect

• Contact form. When you submit our contact form, we receive your first name, last name, email address, ZIP code, the topic you select, and the message you write.
• Phone calls. When you call (844) 582-1795, the call is handled by a third-party call-tracking and call-routing network (MarketCall). That network, and the independent provider your call is connected to, may receive your phone number (caller ID), details about the call such as its time and length, anything you say on the call, and, if the call is recorded, the recording.
• Device and usage information. When you visit the site, information such as your IP address, browser and device type, pages viewed, the page that referred you, and the time of your visit is collected automatically by our hosting and analytics providers (see Section 4). IP addresses and similar identifiers can be personal information under some state privacy laws, and we treat them that way.
• Phone-link taps. When you tap or click a phone-number link, Google Analytics records a phone_click event with the link, where it sits on the page, and the page address. This event does not include the content of any call.

2. How We Use Information

• To read and reply to messages you send through the contact form (we reply to the email address you give us)
• To connect callers with an independent HVAC provider through the call-routing network
• To understand how the site is used and improve its content
• To keep the site secure and to filter spam form submissions

We do not send automatic confirmation emails, newsletters, or text messages. An independent provider you speak with may contact you about your request under its own practices.

3. Who Receives Your Information

• Google stores contact-form submissions for us (the form sends them through Google Apps Script into a Google Sheet) and provides Google Analytics. See how Google uses information from sites that use its services.
• Cloudflare hosts and delivers this website and provides Cloudflare Web Analytics. It processes IP addresses and request data to serve and protect the site. See Cloudflare's privacy policy.
• The call-routing network (MarketCall) receives calls to our number and routes them to independent HVAC providers that participate in its network.
• Independent HVAC providers receive your call and whatever you choose to tell them. They are separate businesses with their own privacy practices.
• Authorities, if we are required to disclose information by law or legal process.

We do not sell or rent contact-form submissions. Cool Call Pro is paid when calls to our number are connected to providers (see our Advertising Disclosure). Because a call passes your phone number to the routing network and a provider, some state privacy laws may treat that as a "sale" or "sharing" of personal information. Section 8 explains how to opt out.

4. Cookies & Analytics

We use Google Analytics 4, which sets cookies in your browser, and Cloudflare Web Analytics. Both collect usage and device information such as pages viewed, browser type, and approximate location derived from your IP address.

Our Google Analytics setup includes Google's automatic user-provided data collection. This feature can detect contact details you enter on the site, such as the email address in our contact form, and send them to Google in hashed (SHA-256) form. See Google's explanation of user-provided data collection.

You can block or delete cookies in your browser settings, or install Google's Google Analytics opt-out browser add-on. The site keeps working without cookies.

5. Calls & Call Recording

Calls to (844) 582-1795 are routed through a third-party call-routing network to independent local providers and may be recorded by that network or by the provider for quality and training purposes. Cool Call Pro does not operate the phone system. Call records and recordings are held by those companies under their own policies. If you do not want your call recorded, please use our contact form instead of calling.

6. How Long We Keep Information

Our policy is to keep contact-form submissions only as long as we need them to respond to you and handle any follow-up, and then delete them. Analytics data is kept according to the retention settings of Google Analytics and Cloudflare. Call records and recordings are kept by the call-routing network and providers under their own policies.

7. Data Protection

The site and the contact form use encrypted HTTPS connections, and we take reasonable steps to protect the information we hold. No method of transmission or storage over the Internet is completely secure, so please do not include sensitive information (such as payment or health details) in the contact form.

8. Your Choices and Privacy Requests

Depending on where you live, you may have the right to:

• Know and access the personal information we hold about you, where it came from, why we use it, and who we share it with
• Delete personal information we collected from you, subject to exceptions allowed by law
• Correct inaccurate personal information
• Opt out of the sale or sharing of your personal information
• Not be discriminated against for using any of these rights

California residents have these rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA). To make any request, including an opt-out, submit our contact form, choose "Other" as the topic, and write "Privacy Request" and what you are asking for in your message. We will reply to the email address you provide and may need to confirm your identity first. California requests are answered within 45 days, as the CCPA requires.

This site does not currently respond automatically to Global Privacy Control (GPC) or "Do Not Track" browser signals. If you use GPC and want it honored, send an opt-out request through the contact form as described above.

9. Children's Privacy

This site is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has sent us personal information, tell us through the contact form and we will delete it.

10. Changes to This Policy

We may update this policy when our practices or service providers change. The "Last Updated" date at the top of this page shows when it was last revised.
